Event Execution Checklist

Setting Up Your Invitation, RSVP Form & Confirmation Email

Before your event goes live, there are three key assets you’ll need to prepare: your invitation email, your RSVP form, and your confirmation email. This event setup checklist walks you through exactly what to prepare for each so your setup goes smoothly from day one.

Step 1

Invitation Email

This is the first thing your guests will see, so getting the details right matters.

Sender & Subject Settings (required)

  • Sender name – the name guests see in their inbox (e.g. your company or event name)
  • Sender email address – the “From” address; we can also set up a default no-reply address for you
  • Reply-to address – where guest replies should land
  • Subject line – keep it clear and specific (e.g. “You’re invited to our Annual Gala 2026”)

Content & Design (recommended)

  • Banner image – a header image for your email (600px width recommended, JPG/PNG, kept small for fast loading)
  • Body text – event name, date, time, venue, dress code, and RSVP deadline
  • Footer text (optional) – contact info, social links, or your logo
  • 1-click decline (optional) – lets guests decline straight from the email without opening the form
  • RSVP button – choose your button colour (hex code) and text (e.g. “Register” or “Confirm Attendance”)

Step 2

RSVP Form

Branding (recommended)

  • Banner/logo – recommended size 1200×400px
  • Header line – the title guests see at the top of the form (e.g. “RSVP to Our Annual Gala”)

Form Fields (required)

  • Decide what you need to collect: name, email, phone, dietary requirements, plus-ones, or custom fields

Response Messages (required)

  • Confirmation text – shown when a guest confirms attendance
  • Decline text – shown when a guest declines

Styling (optional)

  • Brand colours, or a fully custom-designed form if you’d prefer

Step 3

Confirmation Email

The final touch is sent automatically once a guest RSVPs.

Sender & Subject Settings (required)

  • Can reuse your invitation email’s sender details, or set new ones
  • Subject line (e.g. “Your RSVP is Confirmed!”)

Content (required/recommended)

  • Body text – event details and the guest’s personal QR code for check-in
  • Banner image – reuse your invitation banner or use a new one
  • Footer & extras (optional) – maps, agenda, parking info, speaker bios

Edit My Reply (optional)

  • Let guests update their response after submitting or disable this if you’d prefer replies to be final

Styling (optional)

  • Brand colours, or a fully custom-designed form if you’d prefer
